The type of personal information I collect

In order to fulfil product orders, event bookings, newsletter sign ups, and to carry out professional aromatherapy treatments, I currently collect and process the following information:

· Basic contact details such as name, address, email, contact number(s)

· Medical history including any current medications (specific to treatments only)

· Lifestyle / wellbeing related information you provide (specific to treatments only)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

· In relation to an aromatherapy treatment booking – both in terms of communicating/handling your enquiry/booking, and in giving the treatment

· A product order or event booking on the website

· A newsletter sign-up

We use the information that you have given us in order to fulfil orders via the website, and also to inform aromatherapy treatments and advice; ensuring that contraindications and cautions are observed, and to maintain safe and professional standards of practice.

We will NEVER share this information – the only instance in which this may be necessary is if legally requested (eg for medical reasons) and we would always seek your explicit consent first.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting helena@pigpenaromatherapy.co.uk

(b) We have a contractual obligation – for product orders and event bookings

(c) We have a legitimate interest – in order to give professional treatments and / or advice, I will need to complete a full consultation form with you prior to your first treatment and for each treatment thereafter, to maintain full and professional notes and reviews. Information such as medical history and general wellbeing and lifestyle habits will be required in order to ensure safe practice and appropriate advice and recommendations are given.

How we store your personal information

For online product orders, events bookings, and / or e-newsletter sign-ups:

My website is hosted on Square Space. Your data may be stored in Square Space’s data storage, databases and applications. Data you provide such as name, email, postal address, will only be used for the purpose in which you submitted it; ie to fulfil a product order, to complete an event booking, or to contact you via the e-newsletter if you have signed up to receive it. I also operate a returns & refunds policy which you can find on the Pigpen Aromatherapy website.

For aromatherapy treatment clients:

Your information is securely stored and managed via appropriate technological procedures. I am required to keep your personal and medical information for 7 years (for insurance purposes) or if under 18 years old, 7 years following your 18th birthday. I will then securely dispose of any information held whether electronically or hard copy (shredding).

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
